Survey the existing heat-pump arrangement, including manufacturer and model, refrigerant circuit, hydraulic layout, cylinder, buffer or volumiser, controls, heat emitters and electrical isolation points. Review commissioning information and operating settings so that weather compensation, flow temperatures, hot-water schedules, room controls and defrost behaviour are checked as a connected system. For retrofit or replacement work, assess insulation, emitter capacity, plant-room or loft access, external-unit location, condensate discharge and any relevant planning, conservation-area, listed-building, coastal or environmental constraints. Where appropriate, provide clear handover information covering controls, filters, pressure or flow indicators, isolation points, service intervals and safe user checks.

• Have the heat-pump make, model, installation or commissioning documents, warranty details and recent fault codes available.
• Note when the problem occurs, whether heating or hot water is affected, what the controller displays, and whether breakers, pressure, flow or temperature readings have changed.
• Keep access clear to the indoor unit, cylinder, controls, consumer unit, filters, pumps, valves and external unit; do not remove refrigerant covers or electrical panels.
• If the property is listed, in a conservation area, close to protected foreshore or subject to unusual drainage constraints, gather any relevant planning or building information before alterations are proposed.
